1 SUMMARY
1.1 Modifications & Cancellations:
Reservations can be modified or canceled free of charge up to 48 hours before the service by contacting us via email at info@uvacars.com The reservation number and the email address used to make the booking must be provided.
1.2 Airport Pickups:
For airport pickups, the driver will wait one hour from the scheduled landing time. After this period, each additional hour of waiting will incur an extra cost equivalent to 25% of the total service value.
1.3 Child Seats:
Children occupy a seat just like adults. Uva Cars provide one child restraint devices per vehicle free of charge, subject to availability and prior request. Each additional device incurs a £15 charge.
1.4 Liability:
Uva Cars is not responsible for missed flights or lost items left in the vehicle.
2 Acceptance of Terms and Conditions
2.1 By booking a Private Hire Vehicle (PHV) on www.uvacars.com, you agree to all terms and conditions stated herein.
2.2 If booking on behalf of a third party, you must have the authority to accept these terms on their behalf.
2.3 If you do not agree with any of these terms and conditions, do not book any services.
3 Identifying Information
3.1 The owner of www.uvacars.com is Uva Cars Ltd, a company registered in England and Wales under company number 11208622.
4 Reservations
4.1 Pricing & Expenses:
The prices displayed include all expenses (parking, tolls, etc.), except:
- Delays of more than one hour at airport pickups.
- Delays of more than 10 minutes at hotels or private addresses.
4.2 Customer Responsibility:
- Customers must ensure that all booking details are correct.
- Customers must keep their contact phone available at all times.
4.3 Special Requests:
Uva Cars cannot guarantee that all requests in the booking remarks will be fulfilled but will make every effort to accommodate them.
4.4 Claims & Legal Actions:
Any claims or disputes must be directed to the assigned Private Hire Operator (PHO), whose contact details are provided in the booking confirmation.
5 Payments
5.1 Full Payment Required:
Reservations require full payment to be confirmed.
5.2 Accepted Payment Methods:
Payments must be made by credit or debit card through the secure payment platform on www.uvacars.com.
5.3 Security & Data Protection:
- Payments are processed via Stripe, which is PCI DSS Level 1 certified—the highest security standard in the payment industry.
- End-to-end encryption: Uva Cars uses a TLS 1.2+ encrypted connection to secure all transactions.
- No storage of sensitive card data: Uva Cars does not store card numbers, expiration dates, or CVV codes on its servers.

6 Intermediate Stops and Addicional Charges
6.1 If a customer requests an intermediate stop, the PHO may apply an additional charge starting from £30.
6.2 Customers will be notified of the charge via email, and payment must be completed before the trip starts.
7 Invoices and Payments
7.1 Customers will receive an invoice in the confirmation email once payment is made.
7.2 All payments must be in British Pounds (£ GBP). Payments in euros or other currencies are not accepted.
8 Airport Pickups
8.1 Pickup Process:
- The driver will wait at the airport arrivals area holding a sign with the customer’s name or the main passenger’s name (if specified).
- The driver will arrive 30 minutes after the scheduled landing time.
8.2 Waiting Time & Charges:
- First hour of waiting is included.
- After one hour: A charge of 25% of the total service value per additional hour applies.
8.3 Delayed or Early Flights:
- If the flight arrives early, the originally scheduled landing time will be considered.
- If the flight is delayed, the original landing time is still taken into account.
8.4 Customer Responsibility:
- Customers must contact the assigned PHO via the emergency phone numbers provided in their booking confirmation if they cannot find the driver.
- The booking will be automatically canceled after 1 hours of no communication.
9 Pickups at Hotels or Private Addresses
9.1 The driver will wait at the door of the designated pickup location.
9.2 Customer Responsibility:
- If the driver cannot be found, the customer must contact the assigned PHO within 5 minutes of the scheduled pickup time.
- If the customer is more than 10 minutes late, a £30 late fee applies.
- If the customer is more than 30 minutes late, the booking will be automatically canceled.
10 Changes, Cancellations and Refunds
10.1 Modification Policy:
Modifications made less than 48 hours in advance are subject to availability and may incur:
- A 25% surcharge of the total service value.
- An increase in the fare if applicable.
10.2 Refund Policy for Cancellations:
- Cancellations made more than 48 hours in advance: Full refund (100%).
- Cancellations made between 48 and 24 hours in advance: Refund of 50% of the paid amount.
- Cancellations made between 24 and 12 hours in advance: Refund of 20% of the paid amount as a gift card.
- Cancellations made less than 12 hours in advance: No refund will be issued.
10.3 Refund Processing:
- Refunds will be processed by Uva Cars 15 days after the service date.
- Once processed, Stripe will take approximately 10 working days to complete the refund.

11 Children and Infants
11.1 Children and infants occupy a seat just like adults, and it is not permitted to travel with more passengers than the vehicle is authorized to carry.
11.2 In the UK, children are allowed to travel without child restraint systems as long as:
- The driver holds a Private Hire Driver License (PHD).
- The vehicle has a PHV license.
- The children are seated in the rear seats.
11.3 If the child is over three years old, wearing a seatbelt is mandatory.
11.4 As a courtesy, Uva Cars will provide one child seat or booster seat per vehicle free of charge, subject to availability and upon prior request by the customer.
11.5 Any additional child seat or booster will incur a £15 fee per seat.

12 Vehicle Cleanliness & Customer Responsibility
12.1 Private hire operators (PHO) are committed to maintaining their vehicles clean, hygienic, and well-maintained to ensure a comfortable and safe journey for all customers.
12.2 Customers will be held responsible for any damage, stains, or deterioration caused inside or outside the vehicle due to:
- Vomiting.
- Food or drink spills.
- Any other substances that may require additional cleaning or professional treatment.
12.3 If a private hire operator (PHO) needs to perform extra cleaning due to damage caused by a customer, Uva Cars reserves the right to charge a cleaning fee starting at £150 on behalf of the assigned operator.
12.4 This charge covers the costs of professional cleaning services, vehicle downtime, and any necessary sanitation.
13 Liability for Missed Flights & Travel Time Estimates
- 13.1 Neither Uva Cars or private hire operators (PHO) will be held liable for missed flights. The customer is solely responsible for scheduling their pickup with sufficient advance notice to ensure timely arrival at the airport.
- 13.2 It is strongly recommended to book the pickup at least FOUR HOURS before flight check-in closes, or even earlier during peak hours or if traveling to Southend Airport, which may require additional travel time.
13.3 The travel time recommendations and estimated journey durations displayed on the Uva Cars website are for guidance only and are not binding or contractual.
13.4 These estimates do not account for factors such as traffic conditions, weather, or road incidents, and they do not represent the exact route chosen by the driver.
14 Complaints & Dispute Resolution
14.1 If the customer has any complaints or claims regarding the services provided by the private hire operator (PHO), they should first attempt to contact the operator directly via phone or email to resolve the issue.
14.2 If a resolution is not reached, the customer may contact Uva Cars at info@uvacars.com, and we will act as a mediator between the customer and the operator to facilitate a fair resolution.
14.3 While Uva Cars does not assume direct responsibility for the operator’s service, we are committed to assisting our customers in finding a satisfactory outcome.
15 Privacy Policy & Marketing Communications
15.1 Uva Cars guarantees the confidentiality of personal data obtained during the booking process and is committed to storing it securely on its servers.
15.2 This data will only be shared with the private hire operator (PHO) assigned to the booking.
15.3 In no other case will this data be shared with third parties without the customer’s explicit consent.
15.4 Uva Cars reserves the right to send marketing communications related to its own services, promotions, and special offers via email, SMS, or other digital channels.
15.5 By accepting the Terms and Conditions, the customer agrees to receive these communications.
15.6 Customers may opt out at any time by following the unsubscribe instructions included in the messages or by contacting info@uvacars.com.
16 Cookies Policy
